Agenda

Ricardo Updated by Ricardo

In this article, you'll learn how to use Turn.io’s Agenda feature, enabling your team to conduct your Telehealth operations fully within Turn.io.

Before you start, if you haven't read the main Telehealth article, head over to Get started with Telehealth.

There are 2 main parts to this:

  1. The Agenda page, which is where your providers, such as Doctors, will look at for any scheduled consults
  2. Patient booking journeys, which is how consults get booked in the first place

Let's go through them.

The Agenda page

The Agenda page, accessible from the main navigation, is where you can see which consults are scheduled; and initiate the calls with patients.

If you have an consult starting soon, it gets highlighted in yellow.

You can also see past and future consults.

To join the lobby, simply click on the big, purple Join button. There, you can prepare yourself, ensure your video and audio are good, before joining the call. You can also see if the patient is already in the call or not. When you're ready, simply tap the green button:

Then you're inside the call, connected to your patient via WhatsApp!

On the right, you can access multiple features:

Document sharing (coming soon)

Share health documents, such as prescriptions and sick notes, with the patient via the HealthPass

Transcripts

A live transcript of the call, in case you missed something the patient said. Requires an OpenAI integration (Apps > OpenAI), and to be enabled it in Settings > AI > Transcripts & Summaries.

Notes

A notepad to take notes during the call. After the call ends, our system automatically takes your notes and the transcript, and uses AI to generate a summary.

Chat

Chat with the patient via WhatsApp during the call, in case you're having issues, or want to note something down for them to access it later.

Profile

Look into their profile, any information that's saved about them, such as their responses to an intake form, etc.

Call Summary

After the call ends, our system uses AI to automatically generate a summary. You can choose from a General or a SOAP summary. Requires an OpenAI integration (Apps > OpenAI), and to be enabled it in Settings > AI > Transcripts & Summaries.

After the call ends, you can always go back to the summary by pressing the Call summary button on a consult:

Booking consults

Ok, so you looked at the provider side. However, how do consults get there in the first place?

To do that, you simply use the Book Consult card in Journeys:

You will likely have a Journey patients can use to schedule a consult. At the end, when you collected all the details, like date and time, and know which doctor will take this consult, all you need to do is to create the consult in our system using that card. Here's how:

You have 3 fields:

  • a Doctor field, which needs to be a Turn user. You can either choose a specific doctor, or pass a doctor dynamically through a variable (e.g. @doctor)
  • a Start field, which is the date and time for the consult. You can either choose a specific date and time, or pass a dynamic value through a variable (e.g. @date)
    • Note: consults can only be scheduled for the future. Scheduling for the past will result in an error.
  • A duration field, by default 30 minutes. You can also pass a dynamic value through a variable (e.g. @duration)

We also suggest you save the start time in a profile field, so that you can set a trigger later:

Then, all you need to do is to create another journey, that triggers 5 minutes before the consult start you stored in a profile field, and send the user a Template message to start a video call (templates are the only way to message users outside of the 24-hour user-initiated conversation window). You'll need to create a template as well.

And that's it! No, really. Then, anytime a user passes through your consult booking journey, their consult will be saved into the system and appear in the Agenda page.

Advanced

Linking a specific call to a specific consult

By default, the Turn.io engine automatically recognises if a call is for a consult based on the current time, and routes it to the right person.

However, you can also link a specific call to a specific consult. To do that, simply save your consult uuid somewhere you can access it later, for example on an consult_uuid profile field, and on the request call message, pass that uuid on the Link to a consult field:

Accepting calls from your EMR

Your providers are already looking at their EMR/Calendar all day long. To avoid them from juggling multiple tabs, you can integrate Turn calling into your system. Learn more in the Turn Meet article:
