How to send or schedule a reminder?

At times you will need to reach out to people to follow up on important actions or share critical information.

Reminders allow you to personalise and send the same pre-approved template to a selected group of people. This means you can, for example, sent a follow up document, prompt an action or remind people of an important upcoming appointment.

Key things you need to send Reminders

You need to think through the following:

  1. Who do you want to send the reminder to? Firstly, you should only send reminders to people that consented to get WhatsApp notifications from you. But you can also filter on many other contact fields.
  2. What message template will you use? Remember you can only initiate conversation with an approved message template. Templates can be personalised by using contact fields in the placeholders😎.
  3. When do you want to send the reminder? You can either send it now or schedule a date and time in the future.

Step-by-step explanation

1. Who do you want to send the reminder to?

You will use a search query to define who the reminders should be send to.

  • Log in to > Navigate to Reminders.
  • Click Send reminder.
  • Type your search query in the search bar. Start typing @, this will bring up all your available contact fields and you can easily select a field.

  • View your search results. If you are happy with the selection go to the next step by clicking Next: template.

2. What message template will you use?

  • You can only use a pre-approved template. If you don't have a template you need to create and submit a template first.
  • Complete all placeholder value/s to personalise the message. You can use text and/or contact fields in the placeholders.
How do I use a contact field in a placeholder?
To personalise reminders dynamically by using a contact field rather that the same text for all users, you need to type @ followed by the name of the contact field. You will see a dropdown of available fields being shown to you.

For example:
To use each person's Whatsapp profile name when saying "Hi {{1}}!" you insert @whatsapp_profile_name in the first placeholder.

If you don't use the @ sign, the text will send as is, meaning instead of sending "Hi Neelke!", you will send "Hi contact.whatsapp_profile_name!" 😳. That's not what you want. Make sure to use the @ when referring to contact fields.

3. When do you want to send the reminder?

You have two options:

  • By default the message will send now. Now means when you've done all of the setup and you click send, the messages will immediately start going out the selected people.
  • Or you can select a date and time in the future that the reminder should be send. You can select the date, the timezone, and a starting time.

Once you've named the reminder you can confirm the send! You are now reaching out and reminding a selection of people to take important action.
